"What are the requirements for the visa application?"

Winston Milne, estudiante de EE.UU
Makoto Saito, personal de la escuela Taiwan Mandarin Institute Taipei
Documents required: - At least 8 passport-sized photos, along with a scanned copy. - Passport scans of both him and his sponsor, along with scans of any visas from foreign countries. - School application form - Original diploma from last graduated school - An official transcript from the school - Proof of applicant's current employment (if he is working) - Proof of Japanese education, if he has studied at all. Can be a letter from a school, a transcript, or some sort of official document. If he has not studied then he has to write "self-study" in the application form. Immigration "recommends" (requires) all applicants to have at least 150 hours of Japanese study before arriving. This can be self-study. - Proof of sponsor's current employment, including salary information. - An official letter from sponsor's bank stating the current balance, along with a list of recent transactions. How far back the transactions should go is not set in stone, but we'd prefer the last 3 years if possible. Having scans of the above would be fine to make the applicaion at the moment, but we would need to have the originals by submission time. These documents are requested by immigration so there isn't much leeway with anything. If things are difficult, he can always come on a tourist visa and change to a student visa at the next submission.

Russia is not a country that is exempted visa to enter Japan, therefore, he needs a visa. He must ask the Japanese embassy in Russia by himself to find which type of visa he can apply for and what documents are necessary for it. We can issue the letter of acceptance after receiving the payment for the course but can not issue a guarantee letter nor invitation letter.

"What the visa requirements?"

ブル八ン ヌューヂン, estudiante de Indonesia
The nationality of the student is very important because the necessary documentation for a student visa is differ depending on nationality. Unfortunately, if he is from India, it is too late to apply for April term in ISI Chukyo. Because we cannot manage all the paperwork before the visa application deadline which is fixed by the immigration (on 16th December). The following documents are necessary to apply for a visa. The hardest part is 4 & 5. Students from some countries need to have studied Japanese for more than 150 hours, and passed the Japanese proficiency test, before they apply for a student visa in Japan. The required visa documents are: 1. Original Graduation Certificate •Please provide the original copy of your diploma (graduation certificate). •It will be sent back after the immigration checks your certificate. •Verification of Education (from CEPECE)or Credential Report(from VIED) is required for Vietnam. 2. Original Academic Transcript •Please provide the original copy of your academic transcript. •It will be sent back after the immigration checks your transcript. 3. Proof of Enrollment (if you are currently studying at school) •Please ask your school to issue the letter of confirmation to prove the time of enrolment, the major, and expected graduation date. 4. Official Japanese test result •If you are still waiting for the result, please provide your exam admission slip 5. Certificate of Japanese Language Study •The document which proves you learned Japanese for more than 150 hours and provide the accurate hour info. 6. Proof of Employment •Please provide the proof if you have work experience. 7. Written Proof of Supporter •Write the supporter’s home address and phone number accurately. •Make sure the information matches with the information on other documents. 8. Relationship Certificate or Birth certificate •Please provide the document which can provide the relationship between the applicant and supporter. (The applicant’s birth certificate is preferable to the official family registry. ) 9. Sponsor’s proof of employment •Must certify the occupation at least for last 3years •If sponsor is a company owner, please submit notarized copy of business license. 10. Bank Certificate •The account holder’s name must be the same as the sponsor. •Statement must indicate at least JPY 2,500,000. 11. Income Certificate •The official document which was issued by the governmental agency and proves the income and the source of income for last 3 years 12. Tax Payment Certification •The document shown the amount of the tax payment for last 3 years(Tax clearance certificate in Nepal is invalid.) *Further documentation might be required.

"Are you familiar with the G.I. Bill payment scheme? Would you accept a student on this basis?"

Makoto Saito, personal de la escuela Taiwan Mandarin Institute Taipei
I am familiar with the GI Bill and how it helps veterans continue with their education. However, I'm not quite sure what kind of certification is required from the US government, or if non-US based schools can even receive such certification. We would certainly be more than happy to follow whatever process is needed in order to be certified and accept the scholarship, but as we have not yet had any US veterans apply to our school, I have not done much research into the matter.

Would you accept a student on this basis? The student would be interested in studying Japanese for 1.5 years, would that also be possible?"

Mark Gruendemann, personal de la escuela Taiwan Mandarin Institute Taipei
If the students can issue a confirmation letter of giving a support for his course fee and (or) living expenses, there is no problem to accept this student. There are many students who got government support or scholarship and studied with us. He is very welcome to study with us for 1.5 years. However, he can only book and pay for 1 year, since his visa will not be issued for 1.5 year at once. Of course, he can extend the course and visa onsite, if his attendance rate and attitude is good.

Usually a Colombian needs to get a student visa for more than 3 months stay. Unless he has a valid visa now (spouse visa, dependent visa etc), he needs to apply for the COE and the student visa. Here is the process and necessary documents. 1. Please send the necessary documents by e-mail before 8th February. 2. I will check his documents, and may ask few questions. 3. I will ask you to post all documents and photos to ISI Tokyo head office by registered mail. 4. ISI will complete his application documents in Japanese. 5. ISI will apply for his COE (Certificate of Eligibility) on 25th March to the Japanese immigration on behalf of him. 6. ISI will receive his COE at the end of May from Japanese immigration. 7. ISI will send you (or directly to him) the original COE by express post. 8. Please tell him to bring the COE to Japanese embassy to get a visa stamp on his passport. Necessary documents: - Application for Admission form (attached to this e-mail) - Personal History Application form (attached to this e-mail) - Written Proof of Supporter (attached to this e-mail) - 4 pieces of Photo (3 x 4 cm) - Copy of leaving certificate of applicant’s last school - Copy of the applicant’s passport (photo page + if he has come to Japan before, pages with Japanese stamps) - Copy of the supporter’s bank balance certificate *Further documentation might be required later. We recommend writing the application forms with MS Word/MS Excel. Only the signature and dates should be written by hand.

"what is the dead line to send documents for the next student visa application process?"

Bruna Messias, estudiante de Brazil
Unfortunately we don't offer student visas in Tokyo. Depending on the student's nationality, she may be able to receive a working holiday visa instead, which is much more flexible, cheap and easy to get. (She would also not be able to receive a student visa to start in June anyway - the Japanese student visa system has restricted start dates. The next available one would be July.) Working holiday visas are available for these countries: http://www.genkijacs.com/visa.htm#working If she is from one of these countries, no problem to accept the course as booked, from June 6. If she is not from one of these countries, in general the longest she could study with us in Tokyo would be 6 months (26 weeks).

The immigration suddenly became stricter to Turkish students in 2011, but if he carefully writes the application documents, there wouldn’t be a problem. All of our Turkish students successfully got the student visa so far. The immigration tends to be strict to those who have come to Japan many times in the past, or have applied for the student visa in Japan in the past. And if he finished last school more than 5 years ago, the immigration will check his educational background and objective for studying Japanese carefully.

There is no bus. If he really needs to stay in Azumino, unfortunately I have to say that he should look for another school. As for working under a student visa, he can work for up to 28 hours per week. But to get a student visa, he has to book for 6 months or more. "What is the visa process for Filipino students?"

Andrew Kirby, personal de la escuela Yanapuma Foundation and Spanish School
Basically, Filipino people cannot stay in Japan for 4-5 months. They can stay with a tourist visa for up to 3 months, or with a student visa for minimum 6 months. It is impossible to extend the tourist visa, and impossible to get a student visa with less than 6 months booking. So they can study either "less than 3 months" or "more than 6 months". I would recommend to come back in July either with a tourist visa or student visa.

"The student is Brazilian, but her father works in Japan and he has a work permit visa, so I think she can go as a dependent, right? Is it possible to change from a dependent visa to a student visa? Have you already this situation with you?"

Bruna Messias, estudiante de Brazil
Katrin Uphoff, personal de la escuela Don Quijote
A dependent visa is not always given to a family member of a resident. It depends on her father’s visa status. Please advise her to ask his father’s company or lawyer. If she has a valid visa, we are happy to accept her. The next intake for beginner students is 8th April. If she cannot get a dependent visa, she has to take a tourist visa (maximum stay is 90 days) or student visa (minimum stay is 6 months). It should be possible to change her visa status from dependent to student. However, I’ve never seen such students and I’m not sure what condition and information will be required for this visa change. If you need information, please let me know when she would like to change her visa status to student, and why she needs to do so. I will check with my colleagues. Please note that the minimum booking of the student visa application is 6 months.

"To get a Japan visa, do you need to apply 6 months ahead of time? Or is that the case only for the work/holiday visa?"

Нушаба (Nushaba) Годжаева (Godzhaeva), estudiante de Rusia
Sean Azim, personal de la escuela Cabarete Language Institute
Obtaining a working holiday visa doesn’t take so long (usually a few weeks, depends on the country), but working holiday visa is only for British, Irish, French, German, Danish, Canadian, Australian, New Zealander, Hong Kong, Taiwanese, and Korean citizen. Obtaining a student visa takes 4-5 months depends on the term. Japanese immigration issue a student visa only 4 times a year, for January term, April term, July term and October term. They strictly set the application deadline, and if you are late even 1 day, they never accept the application. To apply for the student visa, we need to correct the documents from students first, complete the application documents in Japanese, and go to the immigration to apply before the deadline. Therefore, we need to receive the bookings about 1 month before the immigration deadline. Because it takes time for clients to collect the documents and send them to us by post. If a student would like to start as soon as possible, there is another way. Starting with a tourist visa, and changing the visa status to a student visa onsite. In her case, she can start from October with a tourist visa (she needs to go to Japanese embassy to get a tourist visa) and change the visa status to a student visa (she has to collect the documents and send them to us to get a student visa) from January. But please note, she cannot work for the first 3 months with a tourist visa. Furthermore, she needs to study for at least 6 months with a student visa under the immigration rule, so she has to study from January at least for 6 months. In total, she has to study for 9 months in this case.

"How much should he bring for pocket money and for buying food?"

About the pocket money, it depends how much he will spend for shopping. We can only arrange half board homestay for him, so, he only needs to buy a lunch. The lunch price in Tokyo is about 400 – 800 yen. The drink of 500ml bottle is about 150 yen if you buy in a convenience store, but it can be about 100 yen if you buy in a supermarket. A cup of coffee in a café costs about 250 – 500 yen. Fast food restaurants such as McDonald’s cost about 500 – 600 yen for the meal. There are a lot of food restaurants around school, and you can have lunch with about 400 – 800 yen.

"What is the visa process?"

Camille steinbach, estudiante de Francia
The student is welcome to study with us for 40 weeks from January 2014. Unfortunately the deadline of January term student visa has already passed. Japanese immigration issues the student visas only 4 times a year, January, April, July and October. So, she can only get a student visa from April 2014. In this case, she can study for the first 3 months (January - March) with a tourist visa, and change her visa status from tourist visa to student visa at the end of March. To change the visa status, she doesn’t have to leave Japan. She just needs to fill in the application form with our guidance and leave her passport to us. We will go to the immigration and change her visa status on behalf of her. So it’s quite easy. But please note that she needs 4,000 yen for visa change (immigration charge). Please note that 40 weeks is 1 year course. Her course start date is 7th January 2014, and the course end date is 19th December 2014. Her course will be 3 months (tourist visa) + 9 months (student visa). The JLPT exam is held in July and December, so she will have 2 chances during her stay. In order to apply for a student visa which is valid from April, we need to apply for her COE as following schedule. Process: 1. Please submit all the necessary documents to me by e-mail by 31st October. 2. After ISI check the documents, I will ask you to send them by registered post. 3. Please send the documents and photos by registered post to ISI head office. 4. ISI will complete the application documents, and apply for her COE (Certificate of Eligibility) on 11th December to Japanese immigration on behalf of her. 5. Her course starts on 7th January. She will entre Japan a few day before the course starts on a tourist visa. 6. ISI will receive her COE on 27th February from Japanese immigration. 7. ISI will help her visa change in March.

"Can a Turkmen citizen who has been studying Japanese in Ankata get the Japan visa for six months in Turkey?"

Myrat GYLYJOV, estudiante de Turquía
The student is probably talking about a student visa, because nobody can get a tourist visa for 6 months without extension. We are happy to help him to apply for a student visa. As he already knows, the minimum booking for the course with a student visa is 6 months (20 weeks). Student visa is issued only 4 times a year, in April, July, October, and January. However, July term student visa deadline was 26th March unfortunately. So his next chance would be starting from October with a student visa. If he really wants to start from July, he needs to take a tourist visa for 3 months in his country, and change the visa status into a student visa in October in Japan. In this case, he needs to study for 9 months (3 month with a tourist visa + 6 months with a student visa). If he agrees with starting from October, he is more than welcome. The start cdate is 09.10.2013, and the end date is 20.03.2014. Please note that the October term visa application deadline is also very soon. So we need to receive the booking at latest before 30th April, and receive the application documents before 10th May. Here is the list of application documents to get the COE (visa support document). -Application for Admission form -Personal History Application form -Written Proof of Sponsor -Photos (3x4cm 4 pieces) -Copy of leaving certificate of applicant’s last school -Copy of the applicant's passport (photo page and pages with Japanese stamps)

"What is the requirements for a guarantor?"

Myrat GYLYJOV, estudiante de Turquía
Carmen López, personal de la escuela Don Quijote
If he stays with a friend, his friend should be an inviter and guarantor. He must ask him to be a guarantor and to make the documents. As he is coming for 3 months, he can apply for a temporary visitor’s visa (tourist visa) with his friend’s help. In this case, he should mention that he is coming to visit friend, to go sightseeing, and just would like to try the language school for a few weeks. As you can imagine, we have a huge responsibility to be a guarantor. As far as I know, almost no Japanese language school will be a guarantor without arranging the accommodation. For your information, what the Japanese consult says and what the Japanese immigration says are often different, which make us confused. Because Japanese immigration belongs to Ministry of Justice, and consult belongs to Ministry of Foreign Affairs. But the most important thing is, when he comes to Japan, he must pass the immigration, not the Ministry of Justice. Immigration officially allow students who take 3 months language course to stay in Japan with a temporary visitor’s visa. Immigration does not agree to issue a student visa for students who take less than 6 months language course. So I think the best way would be asking his friend to be an inviter and guarantor, and get a temporary visitor’s visa. If his friend refuses to be a guarantor, he needs to stay ISI accommodation and get a temporary visitor’s visa with our support.

Once she decides to apply to our course, please let me know until June11 (next Monday). Please also send us her passport copy by e-mail and her address so that we can send her necessary documents by post. 2. We will issue and send her invoice. 3. Please pay the course fee as soon as possible. 4. When we can confirm her payment, we will send the necessary documents to her by post. (3-5 days) 5. "Does an Algerian student need to apply for a student visa?"

Bruna Messias, estudiante de Brazil

This student is from Algeria, so he needs to obtain a student visa to study for 40 weeks with us. Unfortunately, Japanese immigration is very strict to African people and they require a lot of documents for the visa investigation. One of them is Certificate of JLPT or NAT or J-test. Africans need to have at least elementary level of Japanese, and they need to show the certificate of their Japanese ability for visa investigation. So if he is a beginner, unfortunately he cannot apply for a student visa. Furthermore, immigration will call him to check his Japanese level. They will also call his financial supporter to check the information in the documents is correct. He and we need to work really hard for his visa application.

However, unfortunately students who have a student visa need to leave within 2 weeks after the course finishes. So, it doesn’t mean he can stay for 1 year with 9 months course booking. Sometimes students want to come to Japan early, but this also causes a trouble at the airport immigration. Students should come to Japan within 2 weeks before the course starts, and leave within 2 weeks after the course finishes. If he would like to stay in Japan longer, he needs to book the course longer, unfortunately.

"Is it ok for students who have not graduated from higher secondary school to apply for a visa?"

My colleague called the immigration and asked if it is ok for students who have not graduated from higher secondary school to apply for a visa. Apparently, there is no problem. Just be sure that he has to go back to his home country after he finishes the language course (he cannot move on higher education in Japan).

"The student would like to know how long would take for her to receive the documents to apply for her visa from the moment we send the enrollment."

I must tell you that this is an urgent matter, if the client would like to get a student visa from April 2014. Japanese immigration issues student visas only 4 times a year, in January, April, July and October. They take a very long time for the visa investigation, so we need to submit all the necessary documents to the immigration on morning 11th December sharp, so that she can get a student visa valid from April 2014. If she can submit the necessary documents to us before next Sunday (9th December) by e-mail, this is the simplest process. But even if she cannot make it in time, there is another way to start from April 2014. She can stay on a tourist visa from April to June 2014 (for tourist visa, she doesn’t have to do anything), and change her visa status to student visa in July 2014. We will do this visa change on behalf of her, so she doesn’t have to worry at all. But please note that this costs 4,000 yen (may change in 2014) at immigration. In this case, she needs to apply for a July term student visa, but she still has enough time. She can submit the documents to us before the end of February 2014.

"The student wanted to ask if it's possible to arrive on th 22nd of march to Japan. If you receive the COE at the end of February, and send it by express mail to the student in Bolivia, she should be able to get the stamp in the first weeks of March, right?"

Under the immigration rule, we cannot post the COE until we certainly confirm the students’ payment. Because some students tell a lie (or sometimes a student make a fake payment receipt!), never pay the fees, get the COE and come to Japan.
